Getting Your Stage Gear Order Ready: COI Requirements

We're so excited to help bring your production to life! To ensure your Stage Gear equipment can be shipped in time for your production, we need to check off one important step: your Certificate of Insurance (COI). This guide is designed to help you breeze through the requirements so we can ship your gear without delay.


What Your Policy Needs to Cover:

To keep everyone protected, your insurance needs to include these three key areas.

Coverage Type Minimum Required Limit
Commercial General Liability $1,000,000 per occurrence / $2,000,000 aggregate.
Property/Equipment Full MSRP* replacement value of all Equipment on your Order Form.
Lost Rental Revenue Customer's weekly rental rate multiplied by 4 to 12 weeks.

Flexible Options for Property Coverage

You have a few ways to meet the equipment coverage requirement. Whether it's through All Risk, Inland Marine, Hired-In Equipment, or Rented/Leased Equipment Coverage, the goal is simply to ensure the audio-visual gear is covered for its full replacement cost while it's in your care.


The "Must-Have" Language

To make the review process as smooth as possible, please ask your agent to include this exact text in the Description of Operations box. It helps our team verify your coverage: "Broadway Media Distribution, Inc. dba Broadway Media is an additional insured on a primary and noncontributory basis with respect to general liability. Waiver of Subrogation is granted in favor of Broadway Media Distribution, Inc. dba Broadway Media with respect to general liability and workers' compensation. Broadway Media Distribution, Inc. dba Broadway Media is loss payee as it relates to rented/leased equipment."

Submission & Helpful Tips

  • Quick Submission: Upload your COI directly to your account at accounts.broadwaymedia.com. As a backup, you may email your COI as a PDF to hello@broadwaymedia.com.
  • Plan Ahead: We recommend submitting your COI early! Our team usually finishes reviews within two business days, and having it approved ahead of your ship date ensures there are no delays to your rehearsals. You'll want to allow for extra time in the event there are items that need to be updated after the initial review.
  • Have a backup plan: If the COI review process is taking too long, you can switch to a Damage Waiver any time until the order ships.

What Happens if Something Goes Wrong?

We know accidents happen! If any equipment is damaged, we'll work with you to get it repaired or replaced. In these cases, you'll pay the Broadway Media invoice first and then coordinate with your insurance provider for reimbursement. Remember, your organization is responsible for any policy deductibles. If gear is stolen, please file a police report and let us know right away so we can support you.
